This feature is to ensure that no other users book the venue when it is being used for a nonvideoconferencing purpose. Each venueonly booking request consists of the same three stages as in section 2. For the first stage, the purpose of the conference is preselected as ‘Venue only’. For the second stage, Add Guest is not available as an option. Note: Book venue only should not be used when a venue will be involved in a pointtopoint videoconference, not using central MCU resources.

Booking a quality assurance test involves the same procedures as for booking a conference. Visit the library page for details about booking a conference. The main difference is that by default, the support venue qa-jvcs@jvcs.ja.net will be added and ‘Janet Videoconferencing Management Centre’ will be an attendee.

Optional settings are available for either Booked or Launched videoconferences. As shown in Figure 1, these settings can be accessed when you get to step 3 of 3 on the booking form. The Optional Settings section allows you to choose a conference screen layout, select recording (if that feature is enabled for your organisation), stream your conference, etc.

Guests can join the videoconference by phone without needing access to videoconference facilities themselves, and without needing to be registered as users of the service. In booking the videoconference, the administrator simply selects a new guest type: “telephone (audio only)”, and enters the name and email address of the telephone participant. The telephone guest is then emailed a number to call into the videoconference.
The conference administrator can also add and remove participants while the conference is in progress, and if it is being recorded then the recording can be stopped while the conference continues: useful if, for example, the recording was to cover a performance, presentation or discussion of a specific topic and the topic has now moved on.
